Odoo ERP for SMEs: module selection, implementation and customisation

Odoo is a modular open-source ERP platform covering accounting and CRM through to warehouse management, manufacturing and e-commerce. For mid-sized companies, Odoo is particularly attractive through its unified data model across all modules, low licensing costs compared to SAP or Microsoft Dynamics, and high adaptability via Python-based modules.

An Odoo implementation starts with process documentation and module selection: which business processes to cover, which data to migrate from legacy systems, which custom modules are necessary. Scope clarity at the outset prevents the most common cost driver: late requirements in the implementation phase.

Odoo Community Edition is free and sufficient for many use cases; Enterprise Edition offers an extended module portfolio, official support and additional cloud hosting options for monthly fees. The choice depends on the required modules and preferred operating model.

Module selection and implementation strategy

Proven implementation sequence: accounting and finance first (master data foundation), then CRM and sales, then operational modules (warehouse, manufacturing, procurement). A big-bang rollout of all modules simultaneously significantly increases project risk and user adoption problems.

Data migration from legacy systems – customer master, item master, open items, stock – is regularly the most demanding part of an implementation. Source data quality determines migration effort; an early data quality assessment saves later iterations.

Odoo customisation is powerful but expensive to maintain: every individual adaptation must be reviewed and potentially reworked at version upgrades. Standard-compliant configuration is always preferable; custom code only where business processes genuinely cannot be mapped without it.

Integration, operations and ongoing development

Odoo interfaces to third-party systems are built via the XML-RPC or JSON-RPC API. Typical integrations: DATEV interface for tax advisors, Shopware/WooCommerce connection, EDI links to suppliers and logistics providers, bank connections via SEPA formats.

Operating model: Odoo SaaS (Odoo.com, fully managed), self-hosted on own server or managed hosting with an Odoo partner. For mid-sized companies with limited IT resources, managed hosting offers the best trade-off between control and operational overhead.

Version migration is a plannable but non-trivial event: Odoo releases a new major version annually. Customisation inventory, test plan and migration window should be fixed items in annual IT planning.
