The Challenge

Website in place—reach and UX around the event

The association organizes charity runs to raise funds that promote media literacy for children and young people. Participants and organizations could already register via a website and enter athletic performance. For runs and charity events, adoption is often decided on the phone: on the go, after training, in short sessions between appointments.

The challenge was to improve visibility and usability without discarding existing logic. The app needed to support registration and performance capture where users expect it today: fast entry, clear status messages, and an interface that stays understandable for volunteer-driven campaigns.

Non-profit constraints and timeline

As a non-profit, HUBIT works with limited resources; every project must pay off in donor and participant value. A realistic timeline was also set—the app should make the charity run more visible and streamline processes, not stall behind endless open product questions.

Technically, iOS and Android had to be served from one codebase so maintenance and extensions stay affordable for the association. Flutter fits because consistent UI patterns and unified business logic map cleanly to both platforms—aligned with event and fundraising scenarios with clear core flows.

Flutter app: sign-up, activity, submission

We implemented a mobile app that lets participants register for the charity run and record and submit athletic performance. The UI focuses on recurring steps: access to the event, activity input, and completing the submission—without heavy menus that deter volunteers and participants alike.

Integration with existing processes uses well-defined REST interfaces so data is transferred reliably and the association does not manually reconcile web and app. Where possible, validation and hints are placed inside the app so submissions are complete before they leave the device.

Workshop alignment and minimal back-and-forth

After the first contact we ran a video workshop with the association—covering stakeholders on the client side and our team in Leer. The goal was to sharpen requirements, priorities, and technical constraints in one session instead of scattering details across async loops.

That clarity carried into delivery: almost no follow-up questions after the workshop because roles, data flows, and must-have features were already nailed down. For non-profits that is a practical lever—less coordination overhead means more capacity for content, sponsors, and participants on the ground.

Quality and delivery from East Frisia

Implementation was done by Groenewold IT Solutions in Leer (East Frisia)—Made in Germany with short paths and responsive communication. Before rollout we tested core flows on common iOS and Android devices and accounted for weaker networks, because charity runs are often used mobile—not only on home Wi-Fi.

Stronger presence for the charity run

The app gives the HUBIT charity run its own mobile presence alongside the website: participants meet the association where they already enter information. That supports campaign visibility and makes it easier for organizations and individuals to contribute—from registration through documenting performance.

The project shows how we support associations and non-profit initiatives: pragmatic prioritization, a sustainable platform choice with Flutter, and delivery within an agreed scope. Why an app alongside the website

Web and app complement each other: the website explains background and reaches search engines; the app concentrates participant actions in a format that fits runs and fundraising. For recurring events, a thoughtful mobile surface pays off because it lowers friction at signup and reporting.

Data responsibility

Personal data for registration and performance requires transparency. We structured technical flows so paths stay traceable and the association can meet its communication duties toward participants—while keeping the app lean, not overloaded.

Technical and organizational collaboration

Flutter lets us maintain UI components and business logic once and ship to the Apple App Store and Google Play. Our East Frisia team aligned UI, APIs, and acceptance with the association—from the workshop phase through handover. The solution remains maintainable and extensible as processes or event formats evolve.
