FAQ
Document management costs
DMS budget
What does a document management system cost?
A DMS for small teams with basic filing and full-text search starts at around EUR 15,000–30,000 excl. VAT. Systems with audit-proof archiving, workflows and ERP integration run EUR 40,000–120,000. The calculator narrows the range by user count, document volume and compliance level.
Which compliance requirements drive costs?
Legally compliant retention (immutable archiving, process documentation, e.g. German GoBD) and audit-proof archives with logging raise the effort considerably compared to plain team filing. In return they replace paper archives legally – including email archiving.
Does a DMS pay off for smaller companies too?
Yes – as soon as employees search for documents daily or approvals circulate by email. Even 10 employees losing 30 minutes a day to searching create five-figure hidden costs per year; our document management ROI calculator quantifies this.

Features & integration
What do OCR and full-text search add?
OCR makes scanned receipts and PDFs searchable: invoices, delivery notes and contracts are recognised and tagged automatically. This cuts manual filing work substantially and enables workflows such as invoice approval.
How is the DMS connected to ERP and accounting?
Documents from the ERP are archived and linked automatically; conversely, documents are available right at the business object (order, invoice, customer). Typical integrations: Odoo, DATEV, Microsoft 365. Integration is usually the biggest single work package.
What happens to the existing paper or legacy archive?
Existing documents are digitised via a scanning provider or in-house scan station and imported with metadata. Alternatively the DMS starts from a cut-off date and the legacy archive stays read-only – which lowers entry costs significantly.
Typical pricing models (overview)
| Model | When it fits | Budget & flexibility | Typical risks |
|---|---|---|---|
| Fixed price (fixed scope) | Clearly defined scope, stable requirements, repeatable delivery. | Predictable total cost; little room for change without a change order. | Scope creep leads to change orders or quality trade-offs. |
| Time & Material | Discovery, legacy, evolving requirements, or close collaboration. | Maximum flexibility; budget transparent via hourly or daily rates. | Without prioritisation, effort can grow—backlog and reviews matter. |
| Retainer / maintenance package | Ongoing operations, updates, small features, and support. | Agreed capacity per month; predictable follow-on cost. | Large changes may still need a separate estimate. |
| Hybrid (milestone + T&M) | MVP or phased releases with clear go-lives, then iterate. | Core delivery fixed price; extensions on a time-and-materials basis. | Define contractually what is in scope vs. extra work. |
