UX/UI design for B2B software: wireframing, prototyping and user-centred interfaces
For mid-sized companies: software people actually want to use—UX design and development from a single team – delivery and project ownership from Germany (Leer/East Frisia), named contacts, no offshore guesswork.
- 250+ delivered projects
- 5.0 stars on Google
- 100% engineering in Germany
UX/UI design for B2B software from the same team as development — no pixel-perfect handoff between agencies, no friction between design and code.
UX/UI design for B2B software — user-centred, measurable, integrated directly into development.
UX design for management and IT leadership
High training effort, low acceptance among staff and errors caused by unclear interfaces cost measurable money. Not every software that works technically is actually used. When users build workarounds or maintain parallel spreadsheets, that is not a discipline problem — it is a UX problem.
As a UX agency Germany, Groenewold IT Solutions removes friction between design and code. No “pixel-perfect handoff" from one agency to the next — wireframes, prototypes and implementation come from one team. That means shorter iteration cycles, no lost requirements at handover points and design that considers technical feasibility from the start.
Use cases: new B2B applications, modernisation of existing software, mobile apps, self-service portals and internal tools. Related services: custom software development, app development, web development.

UX design costs: typical ranges
UX audit (existing software)
from €3,500
1–2 weeks
Systematic analysis of existing software for usability issues, conversion killers and prioritised recommendations.
UX phase for new project
from €5,000
2–4 weeks
Wireframes and clickable prototype for a new project — including feedback loop and usability test.
Full UX/UI incl. design system
€12,000–€30,000
depending on complexity
Complete UX/UI project: user research, wireframes, prototype, usability testing and scalable design system.
Note: The UX phase can be booked as an integrated part of a fixed-price development project — not a separate agency engagement, no interface problems between design and development.
Managing director view on UX and B2B software

„A poor interface costs twice: once in training effort and once in errors that happen because users do not intuitively understand the software. UX is not a luxury for B2B software.“
UX design: when users love your software
Most software projects fail not because of technology, but because of adoption. An application with every feature but nobody using it is worthless. UX design ensures your software works for real users in real situations — not just in demos.
We run UX projects from user research through to developer handover. Or we integrate into your development projects and take the UX part — so your development team works from validated designs instead of interpretations.

Frequently asked questions
FAQ: UX design for B2B software — concrete answers
From management and IT leadership
Context: We develop internal B2B software for 150 employees. The current software is hated. / Question: When do I need professional UX design — and when is a good developer enough?
Professional UX design pays off when many people use the software daily and acceptance, error rates or training effort are a measurable problem. If 150 employees lose 30 minutes daily to poor interfaces, that is 75 work hours per day — every week.
A good developer can deliver functional code, but without systematic user research, interfaces follow technical logic, not user needs. The combination works: UX designers define requirements and flows, developers implement. From one team there is no handover friction.
Context: We already have a Figma design from another agency. Can Groenewold IT Solutions still build it? / Question: How does design handoff work with you?
Yes, we implement external Figma designs. What matters is that the design is truly complete: all states (hover, error, empty, loading), responsive behaviour and edge cases must be defined. Incomplete designs lead to questions, delays and inconsistencies during development. We run a short design review before start and identify gaps
so we work from a complete handoff. Alternatively we offer a combined approach: design review and completion by our UX team, then development.
Context: Our CEO wants a modern redesign of the web app — but budget is limited. / Question: How do we prioritise what comes first in a UX redesign?
Start with a UX audit: we analyse existing software for critical usability issues, conversion killers and the most common user errors. The result is a prioritised list: what fixes the biggest pain with the smallest effort? Typically navigation, forms and error messages make the biggest difference — not visual redesign. Often 80% of user satisfaction can be improved with 20% of effort when you tackle the right problems.
Context: We are building a new app and wonder whether wireframes are really necessary. / Question: Can we not start development straight away and iterate on design?
Technically yes — practically an expensive mistake. Early sprint architecture decisions depend on which flows, data models and interactions the app needs. If that only emerges through development, you change architecture, not just CSS. Wireframes take 2–4 weeks and surface contradictions, missing features and UI traps before code is written. A clickable prototype can also be tested with real users — much cheaper than learning user requirements only after go-live.

Process, handover and measurability
What are the key UX deliverables we should expect from a project?
Depending on project phase: user research (interviews, personas, journey maps) as the foundation, wireframes (low-fidelity structure designs) for early validation, high-fidelity clickable prototype for usability tests before development, design system (components, colours, typography, spacing) for consistent implementation, and handover documentation for the development team. What makes sense depends on project size and maturity.
How do we validate that the design really works?
Usability tests with real users are the only reliable method: 5 users typically find 80% of critical issues. We run moderated tests with prototypes before a line of code is written. That saves significantly — finding a design flaw in the prototype costs about one tenth compared with fixing it in the finished system. Additionally: A/B tests after launch for continuous optimisation.
How do we hand over design specifications to developers?
We work with Figma for design handover: developers can read spacing, colours, font sizes and components directly. Design tokens (structured values for colours, spacing, typography) can be exported straight into CSS variables or design system code. Every component is documented with state descriptions (hover, focus, disabled, error) so developers do not need to interpret.
What is the difference between UI design and UX design?
UX (user experience) covers the overall experience: which tasks does the user want to complete? Which path is easiest? What frustrates? — user research, journey maps, wireframes. UI (user interface) shapes the visual surface: typography, colours, icons, layout, animations. A good product needs both: UX without UI is functional but unattractive; UI without UX is pretty but unusable. We cover the full process.
How do we measure UX quality after launch?
Quantitative: task completion rate (how many users finish critical tasks?), time-on-task, error rate, bounce rate at critical points. Qualitative: NPS, CSAT, usability ratings. For e-commerce: conversion rate is the direct UX KPI. We recommend measuring baselines before redesign so success is quantifiable. Analytics setup (heatmaps, session recordings, funnel analysis) should be part of the launch package.
