FAQ
E-invoicing & XRechnung costs
E-invoicing mandate
Who is affected by Germany's e-invoicing mandate?
Since 1 January 2025 all domestic B2B companies must be able to receive e-invoices. Mandatory issuing follows in stages: from 2027 for companies above EUR 800k prior-year revenue, from 2028 for everyone. Paper and plain PDF invoices lose their validity in B2B.
XRechnung or ZUGFeRD – which format do I need?
XRechnung is pure structured XML and the standard for public-sector clients. ZUGFeRD embeds XML inside a human-readable PDF and works well for B2B exchange. Both comply with EN 16931 – the right choice depends on your customers and system landscape.
Is a free online tool enough?
For a handful of invoices, yes. At any relevant document volume, media breaks and errors add up. The economic answer is direct integration into your ERP or accounting system with validation and archiving built in.

Integrate e-invoicing properly
We connect XRechnung and ZUGFeRD directly to your ERP or accounting stack.
Integration & cost
What does ERP integration for e-invoicing cost?
Standard ERPs with existing modules typically need EUR 4,000–10,000 for configuration and testing. Custom software or multiple coupled systems require dedicated interfaces – usually EUR 10,000–30,000 excl. VAT.
Do e-invoices need audit-proof archiving?
Yes. German GoBD rules require the unaltered, machine-readable XML to be archived for the statutory retention period – a PDF-only archive is not sufficient for XRechnung.
Typical pricing models (overview)
| Model | When it fits | Budget & flexibility | Typical risks |
|---|---|---|---|
| Fixed price (fixed scope) | Clearly defined scope, stable requirements, repeatable delivery. | Predictable total cost; little room for change without a change order. | Scope creep leads to change orders or quality trade-offs. |
| Time & Material | Discovery, legacy, evolving requirements, or close collaboration. | Maximum flexibility; budget transparent via hourly or daily rates. | Without prioritisation, effort can grow—backlog and reviews matter. |
| Retainer / maintenance package | Ongoing operations, updates, small features, and support. | Agreed capacity per month; predictable follow-on cost. | Large changes may still need a separate estimate. |
| Hybrid (milestone + T&M) | MVP or phased releases with clear go-lives, then iterate. | Core delivery fixed price; extensions on a time-and-materials basis. | Define contractually what is in scope vs. extra work. |
