The Challenge
Three systems, no shared picture
Lexware holds invoices and quotes, Clockify project hours, Timebutler leave and sickness. Anyone preparing month-end or client billing jumps between applications — and reconciles figures by hand.
Each tool does its job. Without a shared overview, media breaks remain: exports, spreadsheets, and back-and-forth between finance and project management.
Several Lexware organisations
Running multiple companies or tenants in Lexware means constant context switching. Open receivables, live quotes, and order confirmations are hard to compare across organisations quickly.
Management and controlling needed a consolidated view — without slowing down the accounting software on every lookup.
Billing costs time every month
Logged hours had to be prepared for clients, checked against agreed rates, and entered as invoices in Lexware. Time reports went out manually as PDFs; the link to a quote or order confirmation often lived only with the project lead.
The aim was relief in day-to-day work: less rework, clearer overview, predictable client communication — not replacing Lexware, but a useful layer on top.

One login, one overview
Central Command is a web platform with login, dashboard, and settings. After sign-in, users only see the Lexware organisations and Clockify teams they are responsible for.
Data from Lexware, Clockify, and Timebutler is refreshed regularly in the background and shown in one place. The interface stays responsive — even when several tenants are used in parallel.
Finance and documents on the dashboard
At a glance: which invoices are open or overdue, which quotes are pending, and how order confirmations relate to billing. Charts and KPIs do not replace accounting — they make status readable for leadership and project leads.
Email alerts highlight new or important documents; a daily summary lists open items. Those who do not want to log into Lexware constantly still stay connected.
From logged hours to invoice
Team time from Clockify is available in a structured way — with hourly rates per client and dedicated billing projects. Time reports can be generated as PDFs, optionally with each Lexware organisation’s logo, and sent automatically by email on a schedule.
Selected hours are reviewed in a preview and can be posted directly as Lexware invoices. Hours can be linked to quotes and order confirmations so it is clear whether a job is on track commercially. Timebutler adds leave and absence overviews — including early notice when leave is coming up in the next few weeks.
Built in East Frisia
Central Command was created at Groenewold IT Solutions in Leer — first for our own operations, now as a reference for comparable IT service providers and agencies with several Lexware tenants. The platform continues to grow with requirements from finance, project management, and administration.

Less coordination between office and projects
Document status, logged hours, and absences sit in one interface. Monthly alignment between time tracking and accounting loses many manual steps — questions focus on real exceptions.
Faster view of receivables and quotes
Open and overdue items are visible immediately; important events arrive by email. Those overseeing several Lexware organisations can monitor them in parallel — within assigned permissions.
Structured client billing
Time reports and invoices follow a clear flow: PDF reports, scheduled sending, preview before creating the Lexware invoice. Client communication looks more professional; internally, the path stays traceable.
What the platform delivers day to day
Finance in view without constant logins
Key document types — from draft through quote to recurring invoice — are presented clearly. Links between quote, order confirmation, and invoice help understand where a job stands without opening every document separately.
Time, billing, and workforce planning
Clockify is the basis for client billing and analysis; Timebutler adds leave and absence planning. Dispatch and project leads see early when absences affect upcoming deadlines.
Administration and operations
Access to Lexware and Clockify is assigned centrally — only approved organisations and teams are visible. Operations and further development can be aligned with Groenewold IT Solutions as with other client solutions (hosting and support as required).
