The Challenge

Leads in spreadsheets, CRM out of date

Enquiries from web forms, trade shows, and portals landed unstructured in spreadsheets. The CRM in use was a locally installed line-of-business desktop application without an open interface—a modern API connection was not possible. As a result the CRM was rarely up to date, and sales teams worked with stale data.

Marketing exported lists weekly; sales maintained the CRM in parallel—often conflicting sites, contacts, and stages. Nobody trusted pipeline numbers in management reports because the data base was incomplete.

A move to cloud SaaS CRM was not economical short term; bridge technology was needed to make the existing system usable.

No enrichment and slow response

Without enrichment, company data, industry, and priority were missing; assignment to the right rep was manual and delayed. Valuable leads cooled down before anyone responded. CRM reports also had to be exported laboriously by hand.

Inbound leads from paid campaigns often had only email and free text—without company name or revenue size, scoring was impossible. Field and inside sales argued over ownership because rules were not enforced systematically.

Leadership wanted shorter time-to-first-contact—without additional sales assistants around the clock.

Desktop CRM as a black box for marketing

Marketing tools and the CRM did not talk; attribution and campaign ROI stayed guesswork. CRM exports for weekly pipeline calls cost half a day each time.

Privacy (GDPR) required documented origin of every lead—manual Excel intermediate steps left no trail.

Integration & workflow views

n8n collects, enriches, and scores

An n8n workflow ingests leads from all sources—via webhook, form, and portal import. It enriches them through company-data APIs (e.g. industry, company size, domain check), scores them, and distributes them by rule to the responsible reps, including notifications in email and Teams.

UiPath syncs with the desktop CRM

Since the CRM offers no API, a UiPath robot transfers the enriched leads through the UI and logs activities and notes consistently. In the other direction, UiPath regularly pulls reports from the CRM and provides them to n8n for analysis. The desktop CRM stays authoritative without anyone maintaining data twice.

The robot uses a queue and idempotency: the same lead ID is not created twice as a new record. CRM UI changes require adjustment only in the UiPath part—n8n scoring stays untouched.

Report exports land structured in n8n for dashboards and management mailings—no manual menu clicking on Monday mornings.

Operations, GDPR, and extensibility

New campaigns or form fields can be connected via configuration without redeploying the core. Monitoring surfaces bottlenecks such as queue depth or failed UiPath runs early. Origin and consent are logged per lead.

Leads are enriched, scored, and assigned to the right person before they cool down. The CRM is current without manual typing; reports are available automatically. Conversion benefits from shorter response times.

Technical implementation in detail

Lead intake, enrichment, scoring

Webhooks from website forms, CSV import from trade shows, and portal polling feed a normalised lead record. Enrichment APIs deliver industry, headcount, and domain validation; scoring weights region, company size, and campaign source.

Rules map to sales territories and inside-sales exceptions; SLA timers start on assignment and escalate on missing follow-up.

UiPath sync and report backflow

UiPath creates contacts, accounts, and activities in defined screens; notes include enrichment metadata for sales. Nightly report export delivers pipeline stages to n8n for the management dashboard.

Failed UI runs create tickets with screenshots; sales only sees finished, verified records in the CRM.

Rollout and lessons learned

Pilot campaign, shadow sync, go-live

Start with one web-form campaign: two weeks shadow sync into the CRM without sales notification, then active assignment. Scoring thresholds were calibrated with sales leadership.

A CRM update during the project required UiPath adjustment—hence a monthly regression test on a test data set. Learnings feed into our CRM and automation references.
