Licences, limits and integration

Do we need premium licences for Power Automate?

Standard flows in M365 cover many internal scenarios. Premium connectors (SQL, Dynamics, HTTP with on-prem gateway) and desktop flows often need Power Automate Premium or Process licences. We map your connectors and recommend the leanest viable option.

Power Automate vs UiPath – when which?

Power Automate for Microsoft-centric processes and moderate UI automation. UiPath/enterprise RPA for complex desktop automation, high volume and strict orchestrator needs. Both can run in parallel.

What does Power Automate implementation cost?

Are there limits on flow runs and API calls?

Yes. Power Automate has daily request limits per licence (service limits) and throttling per connector. For high volume or time-critical bulk operations we plan batching, suitable concurrency settings and—where needed—per-flow or process licences, so flows run reliably instead of being silently throttled.

Can Power Automate access on-premise systems such as SQL or file shares?

Yes, via the On-Premises Data Gateway. We connect local SQL databases, file shares or legacy systems securely—with separate service accounts and documented permissions. For more complex connections we combine this with API and interface integration (/en/services/api-integration).

Governance, security and operations

How do we set up DLP and environments for Power Automate?

Dev, test and production environments with separated connectors, DLP policies and ALM for flows. We define who may create, approve and monitor flows—so citizen developers do not touch production data unchecked.

Can desktop flows automate legacy applications?

Yes—for Win32 apps without APIs desktop flows are often the pragmatic entry. Limits: UI changes need maintenance; at high volume we assess RPA or API alternatives. Combining with cloud flows for orchestration is common.

How do you integrate Power Automate with Teams and SharePoint?

Typical patterns: approval workflows in Teams, document routing in SharePoint, notifications from Dynamics or SQL. We use premium connectors only where needed and document permissions for GDPR-aligned operations.

What happens to flows when an employee leaves the company?

Personal flows often become orphaned once an account is disabled—a classic shadow-IT risk. We move business-critical flows into shared ownership or service accounts and into versioned solutions early on, so operations continue independently of individuals.

How do you monitor errors and outages in production flows?

Through run-history analysis, automated error alerts (for example in Teams or by email) and rerun logic. A failed flow does not surface only once a process is already stuck, but immediately alerts the responsible person. On request we run the monitoring as part of maintenance and support.

Migration, AI and ROI

Can we replace Excel macros or VBA with Power Automate?

Often yes: recurring Office and data tasks can be modelled as cloud or desktop flows, making them maintainable and traceable. Where VBA is deeply embedded in application logic, we assess whether clean automation or legacy modernisation (/en/services/legacy-modernization) is the more viable path.

Is AI Builder or Copilot in Power Automate worth it?
