Tradesperson Planning System – Field Service & Job Planning

For a roller shutter manufacturer with over 100 staff, we built a system of backend, planning UI, and Android app: dispatch assigns jobs, installers capture measurements and status on site, installed materials are traceable for recalls—custom software from East Frisia, Made in Germany.

Tradesperson Planning System – Field Service & Job Planning

Craft & Planning

The Challenge

Scaling without process breaks

The company plans and installs with many crews in parallel. When jobs, measurements, and material records live on paper, spreadsheets, and ad hoc tools, every handoff costs time and invites error: duplicate entry, unclear status, and weak reporting when serial or recall situations arise.

Management required planning and field teams to work on one shared dataset. Mobile use on sites and during customer visits had to work reliably—even with patchy networks—and the UX had to stay clear for different roles.

Traceability of installed components

Manufacturers’ notices or quality rules may require documenting installed parts. Without per-object digital capture, answering “which buildings contain which material?” quickly turns into manual digging through files and email threads.

The project addressed this directly: material-related capture in the app, linked to job and site, so later evaluations stay reproducible—without pushing extra office work onto field staff.

Our Solution

Backend for dispatch and data

The backend centralises master data for jobs, crews, and sites. Dispatchers assign tasks to individual installers; priorities and capacity stay traceable without maintaining parallel lists.

We use Laravel, Vue.js, and MySQL: clear APIs between server and mobile app, maintainable domain logic, and a web UI for day-to-day planning—so the solution stays extensible as processes or requirements change.

Android app for measurements, status, and materials

The Android app targets on-site users: structured measurement capture, visibility of current jobs, and status updates flowing back into planning—reducing phone tag because the next tier always sees progress.

Installed materials are recorded per building. For recalls or replacement campaigns, the system can report where affected components were fitted—operational value beyond a simple appointment list.

Delivery by Groenewold IT Solutions

Concept, implementation, and ongoing development are done in Leer (East Frisia). We combine backend development, API design, and native Android in one team—so integration does not fall between vendors and quality stays accountable.

Results

Transparency from planning to site

A shared system cuts coordination overhead between office and field: status and measurements live centrally instead of chasing updates via chat. Dispatch and installation teams gain relief, and bottlenecks surface earlier.

Reference for trades and field-heavy operations

The project shows how custom software supports mid-sized businesses with large field organisations: not generic off-the-shelf trade software, but the customer’s processes reflected in backend, APIs, and a native Android app—built in Germany with maintainability and real workflows in mind.

Operational planning and evidence

Roles in daily work

The office focuses on overview and prioritisation—which jobs go where and which resources are tied up. In the field, speed of capture, clear forms, and reliable sync matter so installation is not slowed down by software friction.

Why custom software

Off-the-shelf products rarely cover specific material evidence, internal shortcuts, and the history of long customer relationships at once. A tailored solution keeps data models under the business’s control and can grow with the company—from extra reporting to new integrations.
